It may not be often, but there will be situations where you need to convert an Outlook email to PDF. Maybe you want to archive a personal email, save a legal notice, keep track of specifics in a project, save incoming invoices and receipts, or maintain a record of important emails. Simply put, converting an email to PDF is very useful.
For example, I recently purchased software and received the license key via email. For quick and easy access, I saved that specific email in Outlook as a PDF document. That way, I can access the license key whenever I need it without opening the email client. In fact, I do this for all important emails.

Steps to Convert Outlook Email to PDF & Save It
To convert an email in Outlook to PDF and save it, follow the below steps.
- Launch the Outlook application.
- Open the email you want to save as a PDF.
- Press the Ctrl + P shortcut.
- Select Microsoft Print to PDF from the “Printer” dropdown.
- Choose Memo Style under “Settings”.
- Click the Print button.
- Type a name in the “File name” field.
- Make sure “Save as type” is set to PDF Document (*pdf).
- Click the Save button.
- With that, the Outlook email is converted to PDF and saved to the folder.
Detailed Steps (With Screenshots)
First, open the Outlook application. To do that, you can search for Outlook in the Start menu. Alternatively, open the Run dialog (Windows key + R), type Outlook, and click OK.
After opening the Outlook application, open the email you want to convert to PDF. Next, press the Ctrl + P shortcut on your keyboard to trigger the print action.
The above action will open the “Print” page. Here, select Microsoft Print to PDF from the “Printer” dropdown menu. Next, choose the Memo Style option under the “Settings” section. Click the Print button.
In the “Save Print Output As” dialog box, go to the folder where you want to save the PDF files, type a name in the “File name” field, ensure “Save as type” is set to PDF Document (*.pdf), and click the Save button.
That is it. As soon as you hit the Save button, Outlook converts the email to PDF and saves it to your computer. To verify, open File Explorer (Windows key + E) and go to the folder you’ve chosen to save the file. You should see the converted email as a PDF document.
