How to Create Email Signature in the New Outlook App in Windows

An email signature can provide essential contact information and even act as a subtle form of self-branding. It also eliminates the need to enter your contact information in each email manually. Whether for work or personal use, it adds a touch of professionalism to your messages. In this tutorial, I will guide you through creating an email signature in the new Outlook app and applying it to your emails, replies, and forwards. Let’s get started.

Create an Email Signature in the New Outlook

  1. Open the Start menu.
  2. Search for “Outlook (new)” and click “Open“.
  3. Click the “Settings” icon on the top-right corner.
  4. Go to the “Accounts” > “Signature” tab.
  5. Select the email account from the first dropdown menu.
  6. Click the “New signature” option.
  7. Type the signature name in the “Edit signature name” field.
  8. Enter your email signature in the edit field.
  9. Click the “Save” button.
  10. Select your signature from the “For New Messages” & “For Replies/Forwards” dropdown menu.
  11. Click the “Save” button again.
  12. With that, you’ve created an email signature in the new Outlook app.

First, open the new Outlook app. To do that, press the “Windows key” on your keyboard, enter “Outlook (new)”, and click the “Open” button.

Click the “Settings” icon (it looks like a gear) on the top-right corner of the Outlook window.

Go to the “Accounts” > “Signature” tab in the Outlook settings window. Now, select the email account for which you want to create the signature from the first dropdown menu.

Note: You will not see this dropdown menu if you don’t have multiple email accounts in Outlook.

After selecting the email account, we can create the signature for it. To do that, click the “New signature” option. Enter a name for your new signature in the “Edit signature name” field, type your signature in the edit field below it, and click the “Save” button.

Note: You can use the rich text control at the bottom of the signature edit fields. For example, you can make the text bold, increase or decrease the font size, add an inline image, etc. Keep in mind that not all email clients support rich text signatures.

Next, select the newly created signature from the “For New Messages” and “For Replies/Forwards” dropdown menu. That way, all your new emails, replies, and forwards will automatically have your signature at the end of the message. Click the “Save” button again.
